1. Who we are
AgencyGenie provides a software platform to service agencies. For the personal data an agency stores about its own clients, contacts, staff, sales prospects and vendors, that agency is in control of the data and we process it on the agency’s behalf. For data about our own customers and website visitors, we decide how it is used.
2. What we collect
- Account data: names, work email addresses, phone numbers and login details of account users.
- Business data: agency name, billing details and settings.
- Agency Data: clients, contacts, catalogs, proposals, files, approvals and payment records that agencies enter.
- Communications: emails, chats, call logs, call recordings and transcripts handled through the Platform.
- Usage data: log files, device and browser information, and how features are used.
- Website enquiries: details you send through our demo request form.
3. How we use data
- To provide, maintain and improve the Platform.
- To bill for subscriptions and provide support.
- To send service notices and, where allowed, product updates.
- To keep the Platform secure and prevent misuse.
- To meet legal obligations.
4. Legal basis
Where laws such as the GDPR apply, we rely on performance of our contract with you, our legitimate interests in running and securing the Platform, compliance with legal obligations, and consent where it is required.
5. How we share data
We do not sell personal data. We share it only with:
- service providers that host, secure, process payments for, or send messages from the Platform, under contracts that protect the data;
- authorities, where the law requires it;
- a successor business, if AgencyGenie is merged or sold, subject to this policy.
6. Storage and security
Each agency’s data is kept separate from every other agency’s. Data is encrypted in transit, access is limited by role, and staff access is restricted to what is needed to support you. See our Security page for more detail.
7. Retention
We keep Agency Data while your subscription is active. After cancellation you have 30 days to export it, after which it is deleted or anonymized, except where we must keep records for legal, tax or dispute purposes.
8. Your rights
Depending on where you live, you may have the right to access, correct, export, restrict or delete your personal data. Account users can contact us at support@agencygenie.app. If you are a client of an agency that uses AgencyGenie, please contact that agency first, since it controls your data.
9. International transfers
Some of our service providers may process data outside your country. Where this happens, we use recognized safeguards for the transfer.
10. Children
AgencyGenie is a business service and is not intended for children under 16.
11. Changes to this policy
We will notify account administrators of material changes before they take effect.
